Challenge
Job seekers often face challenges such as:
Losing track of application details (dates, recruiter names, or statuses).
Organizing and managing various job-related documents.
Visualizing patterns and progress in their job search journey.
Staying on top of interviews and deadlines with minimal stress.
Existing tools often fail to provide a unified solution, requiring job seekers to juggle multiple platforms and spreadsheets.
Results
Hireflow is a solution designed to streamline the job search process. It features a comprehensive application tab where users can meticulously record details like application dates, locations, recruiter contacts, and current status. An intuitive dashboard provides a visual overview of job search progress, including total applications, monthly application trends, a US heat map of company locations, industry breakdowns, and a clear visualization of application statuses. Furthermore, a dedicated documents tab allows users to efficiently manage essential job-related materials such as resumes, cover letters, portfolios, and certifications. Finally, a visual calendar tab enables users to effectively schedule and organize interviews.

Process
Research & Analysis: The design process began with research and user insights. Interviews were conducted with 11 job seekers, revealing key pain points. 70% of participants relied on spreadsheets for job tracking, finding them time-consuming to maintain. Furthermore, 85% expressed difficulty in managing document requests from recruiters. Finally, 90% emphasized the need for a visual representation of their application statuses to better understand their job search progress.
Ideation & Wire-framing: The ideation phase involved the creation of low-fidelity wireframes to visualize user flows and interactions within the Job Application Tracker. These initial prototypes were iteratively refined based on feedback received, with a strong emphasis on ensuring simplicity and ease of use for all users.
Prototyping: Built the final high-fidelity prototype in Figma with a clean and user-friendly interface.
Testing: Conducted usability testing with 8 participants looking for jobs. Our test group age ranged from 21-47 years of age
Feedback highlights: Feedback from users highlighted the popularity of the heat map feature, mainly its unique visual appeal in tracking job application locations. Based on these user suggestions, we added the ability to customize document categories, enhancing the flexibility and personalization of the Job Application Tracker.
“ The heat map feature is such a game-changer. It gives me a clear visual of where my opportunities are concentrated, and it helps me decide whether I need to expand my search to other areas ”
